Officer, Boston Marathon – Jimmy Fund Walk

The Officer provides support to the Senior Associate Director of marketing and communications. In addition, the Officer will be the liaison for the Jimmy Fund Walk Volunteer Program. The officer will also oversee the Jimmy Fund Walk Hero (patient partner) program and will also support a portfolio of walk teams participating in the Jimmy Fund Walk. Responsible for assisting the entire Division with reaching financial goals.

Dana-Farber is pursuing an ambitious, multi-year fundraising effort to change the future of cancer research and care: The Dana-Farber Campaign. This $2 billion campaign is the largest in the Institute’s history and one of the largest ever in the U.S. focused solely on cancer. Philanthropy raised through The Dana-Farber Campaign will accelerate the Institute’s strategic priorities by supporting revolutionary science, extraordinary care, exceptional expertise, and essential opportunities—helping us prevent, treat, and Defy Cancer.

Primary Duties and Responsibilities:

  • Revenue responsibility of $250,000.
  • Conduct 65 donor visits annually with Heroes, volunteers, team captains, and Pacesetters and complete call reports with relevant notes and information from these visits.
  • Strategize with partner business units to expand high-capacity walker’s opportunities with the organization.
  • Responsible for stewardship and retention of participants on select Walk teams who raise between $7,500 - $10,000, all Hero Walk Teams, and virtual teams/walkers not previously assigned to a prospect manager.  Additionally, assist with outreach to unassigned teams and walkers throughout the year if required.
  • Develop and execute annual Hero Program plans (including recruitment and stewardship) and yearly schedule for communications.
    • Recruit and steward 52 Heroes and their families to match with Jimmy Fund Walk teams including collecting all necessary paperwork and photos.
    • Oversee match process and communication pre – and post – Walk.
    • Manage patient partner Walk Day involvement and involvement with other events, as necessary.
    • Plan and execute Hero Match Party and Unveil Event for Hero families and Hero Match Teams.
  • Assist Senior Associate Director by managing marketing projects and working with the Philanthropy Communications, Digital Marketing, and Informational Services teams. 
    • Update website content throughout the event cycle.
      • Assist with content creation and technical aspects of launching yearly website, including testing and reporting issues.
      • Manage and oversee keeping Walk staff on schedule with edits, reviews, creating new documentation, etc.
    • Attend weekly stewardship meetings and develop and update stewardship materials as requested.
    • Manage process for Walk updates to event website.
    • Build, test, and send Walk recruitment, fundraising, and stewardship emails in collaboration with Philanthropy Communications, Digital Marketing, and Information Services.
      • Includes submitting list requests to the ClearView Team.
    • Oversee event day signage plan in collaboration with Philanthropy Communications, Corporate Partnerships, and Senior Associate Director, Logistics.
    • Manage approvals/circulation process for all Walk and Philanthropy Communications marketing projects.
    • Serve as contact to light up buildings and bridges for Walk Weekend.
  • Serve as the liaison for the Jimmy Fund Walk Volunteer Program to ensure all Jimmy Fund Walk needs are met including volunteer recruitment, training, and stewardship.
  • Support the Senior Associate Director, Marketing and Communications, assist with the following administrative tasks:
    • Track email statistics to help monitor the effectiveness of emails and provide insight for future emails.
    • Schedule meetings with PR partner (Brodeur), circulate meetings minutes.
    • Reconcile p-card monthly.
    • Assist with uploads, marking outreach in ClearView and another participant needs as they arise.
    • Other tasks as assigned.
  • Assume major responsibilities/a leadership role with regard to set up and logistics on event weekend including training staff pre-event.
  • Participate in at least one other organization’s Walk event and produce reports for information sharing.

Supervisory Responsibilities:

Reports to Senior Associate Director, Boston Marathon® Jimmy Fund Walk. Has indirect supervisory responsibilities and seeks major decision-making authority from supervisor. The position is also programmatic in nature and provides a considerable amount of autonomy in decision-making when working with participants, volunteers, donors, and staff as necessary.

Potential to manage a Co-Op depending on staffing needs.

Minimum Job Qualifications:

Minimum 3-5 years’ experience in special events, donor relations, or professional fundraising. 

Knowledge, Skills, and Abilities Required:

Detail oriented with excellent verbal and written communication and organizational skills; possess the ability to work well with all DFCI Departments and donor constituencies of all levels; juggle multiple projects; and work independently in a fast-paced environment. Understanding of Microsoft Office Suite, including Access, Excel, Word, PowerPoint, and Outlook. Some travel and evening and weekend work required.

Yes – patient volunteers and Jimmy Fund Walk patient partners.

Working Conditions:

This position is considered remote, up to 1 day in the office at 10 Brookline Place, Brookline, MA each week. DFCI guidelines state that employees must reside within New England: Connecticut, Maine, Massachusetts, New Hampshire, Rhode Island, or Vermont. Some travel and evening and weekend work required.
